Privacy Policy

This notice is issued in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council (the "GDPR") and, where applicable, Hungarian Act CXII of 2011 on Informational Self-Determination and Freedom of Information (the "Infotv.").

2. Purposes, legal basis, and categories of data processed

a) Event registration

When you complete the registration form on the Website, we process the following data: full name, email address, phone number, number of participants, accommodation requirements, meal requirements, and the date of submission. The purpose of this processing is to handle the registration, confirm participation, and issue a personalized quotation. Legal basis: Article 6(1)(b) GDPR — processing is necessary to take steps at the request of the data subject prior to entering into a contract.

b) Contact form

When you complete the contact form, we process the following data: name, email address, phone number (optional), and the content of your message. The purpose of this processing is to respond to your enquiry. Legal basis: Article 6(1)(f) GDPR — our legitimate interest in communicating with and responding to enquiries from prospective members and members of the public, which we have assessed as not overridden by your interests or fundamental rights.

3. Data transfers and processors

The Association does not transfer personal data to third parties except where required by law. We engage the following processors:

• Hosting provider: Hetzner Online GmbH, Industriestr. 25, 91710 Gunzenhausen, Germany — for operating the Website and database.
• Email delivery provider: Resend (Resend, Inc.) — for delivering confirmation and notification emails.

These processors act solely on the Association's instructions, under data processing agreements that satisfy the requirements of the GDPR.

4. Retention period

Data provided during event registration is retained for 1 year following the conclusion of the relevant Event; data required for accounting or other statutory purposes is retained for the period prescribed by applicable law (e.g. the Hungarian Accounting Act, Act C of 2000). Data submitted via the contact form is retained for 1 year following our response, or until you request its deletion.

5. Data security

The Association implements appropriate technical and organizational measures to protect personal data against unauthorized access, alteration, transmission, disclosure, deletion or destruction, and against accidental loss or damage.

6. Your rights

Under the GDPR, you have the following rights with respect to your personal data:

• the right of access (to know what data we hold about you),
• the right to rectification (correction of inaccurate data),
• the right to erasure ("right to be forgotten"),
• the right to restriction of processing,
• the right to data portability,
• the right to object to processing based on legitimate interest.

You may exercise these rights using the contact details set out in Section 1 above. The Association will respond to your request without undue delay, and in any event within one month.

7. Remedies

If you believe that our processing of your personal data infringes the GDPR or the Infotv., you may lodge a complaint with the Hungarian National Authority for Data Protection and Freedom of Information (NAIH; address: 1055 Budapest, Falk Miksa utca 9–11., Hungary; postal address: 1363 Budapest, Pf. 9., Hungary; email: ugyfelszolgalat@naih.hu; website: naih.hu), or seek a judicial remedy before a competent court.

8. Changes to this notice

The Association reserves the right to amend this Privacy Policy. Amendments take effect upon publication on the Website.
